What about your friends? Implement a client referral program into your coaching business

Word of mouth remains one of the best ways to get new business. Why is it so valuable? Because it relies on people who know you personally and can vouch for the value you offer. Creating a referral program for your coaching business is a great way to formalize this and bring in new clients while showing appreciation to your loyal ones. Here are some tips on how you can kick things off:

1. Define the Program Structure

Before you share with anyone else, it is crucial to ensure that you understand the program structure. Here are three simple questions you can ask yourself.

  • What are the terms? – For example, If the referee spends over $50 on their first visit, the referrer gets an additional 15% discount. Or when a client books after an introductory call, the referee gets an “X” dollar amount on a gift card. 
  • What are the incentives?  What’s a referral program without the goodies? Take some time to think about the incentives. Is it free or discounted services, gift cards, or good old-fashioned cash rewards? Do what is best for you as a business and consistently evaluate your ability to provide these incentives.
  • What is the process?  Define the steps the referrer must follow to refer someone. Defining the rules of engagement is at the core of any referral program. 

It’s okay not to know all the details right away, but answering these questions at a basic level can help you get started. Remember, the process doesn’t have to be complicated. Keep it simple and clear for both you and your clients. 

2. Document Clear Guidelines and Messaging 

Documenting the process will help you and your clients easily understand the program’s rules. Here are a few things that should be clear in any message you share about the program, whether through social media, email marketing, or word of mouth. 

  •  Eligibility: Who can join the program?  Friends, family, or colleagues could be great options!
  • Process: What steps do they need to follow to refer someone? And, more importantly, what defines a successful referral?
  • Reward Distribution: Share how and when they’ll receive rewards for successful referrals.

3. Create a Plan to Promote it

  • Social Media and Email Marketing
    •  Announce the referral program on your social media platforms and include it in your email newsletters.
  • Word of Mouth Promotion
    • Train your staff (and yourself!) to inform every customer about the referral program at the conclusion of services. For a personal touch, you can also bring it up during your coaching sessions or workshops!

 4. Make Referring Easy

Help your clients refer others by providing them with handy tools:

  • Referral Cards – Create physical or digital cards that they can share easily.
  • Unique Links—If you have a website, consider generating a unique referral link for each client to simplify the process!

5. Track Referrals

How will you track referrals? Physical referral cards? A spreadsheet? A signup sheet? A referral QR code? All are great options, depending on your needs and how you want to track the data—hint: CRM (customer relationship management) systems can also help.

6. Show Appreciation

When a new client joins because of a referral, recognize and reward the referring client immediately! A heartfelt thank-you note, a little gift, or their promised incentive can go a long way.
